Lost your company key?

 

You need your company key whenever you see the company key icon [icon] Company key. .

If you have lost or forgotten your company key, use our secure automated online service to retrieve it.  The Companies Office will not release keys through fax, phone or post.

The process for requesting a company key includes:

  • Confirming that you are authorised by the board to request the company key
  • Supplying your full name (as the authorised person requesting the company key)
  • Supplying an email address to which the key should be sent.

Who is authorised to request a company key?

Only a director or an authorised person may request the company key.  Authorised person, in this context, means any person specifically authorised by the board of the company to make an application for the company key.  Where a company is in receivership or liquidation, the Receiver or Liquidator may also request the company key. 

Note | To obtain a company key using this service the email address you supply must match one of those already recorded for the company.

 

How to access the online service to obtain your company key

There are two ways to access this service:

Either

  • Select Maintain Company Details then Obtain Company Key from the left hand menu.
  • Enter the company number, or use the Locate Company button to search for, and select the company number.
  • Select Continue and
  • Enter your contact details (if you are a logged on registered user, these will be filled in for you.  Check the details and edit them where necessary).
  • Select Continue to display the 'Obtain Company Key' screen.


or

  • Select any service that requires use of the company key (look for the picture of a key beside these options on the menus).
  • Once you reach the screen to enter the company key, you should see a prompt about Lost or Forgotten your Company Key - click on the Obtain Company Key button to display the 'Obtain Company Key' screen.


Note | If you will be doing other online updates during this session, you can also put a tick in the box next to Save contact details for this session.

Then from the obtain company key screen:

  • Check the box to confirm that you are authorised by the board to request the company key

  • Enter your first name(s)

  • Enter your last name (as the authorised person requesting the company key)

  • Enter the email address to which the key should be sent

  • Select Continue

The system will validate the email address you supplied against those already recorded for the company.

 

When your email address is validated

  • Where a match is found for the email address, we will display a message confirming that your request has been submitted and confirming the email address we have used for the response.
  • Select Continue to return to the Companies Office Home Page.
  • Check your email mailbox for a message containing the company number and company key.


When your email address is not validated

If your email address does not match an email address recorded for that company we will display an onscreen message confirming that there was NO match.

  • Select Submit Request and a key request form will be emailed to you.  If you are authorised to receive the key and you would like it to be sent to the email address you entered, sign the key request form.  This request will be retained by the Registrar.  The form must be returned to the Companies Office within ten working days. 

  • Alternatively, if you would like to re-enter another email address to check it is registered with us, select Re-Enter Email.


When we receive the signed form we will email the company key to the address you requested.  This will be processed during normal working hours.

There are two ways to return the form:

 

Option one: Scan and upload the Key Request Form

  • Scan your signed key request form and save it as a PDF file.

  • Then visit the Companies Office website and select the Upload Key Request Form option under Maintain Company Details from the left hand menu.  Select the company that you will be uploading the key request form for.

  • From the File Upload - Key Request Form screen, either enter the file name into the field provided or select the Browse button to locate the document on your PC you wish to upload.

  • Select the document, then click the Open button.

  • Select the Upload Form button to upload the document you have selected.

 

Notes | The only accepted file format for the Upload Key Request Form service is Adobe Acrobat PDF (pdf) files.

From the 'Upload Key Request Form' screen you can choose to preview the document you have uploaded.  Previewing your uploaded document helps to ensure that you have selected the right file.  If you find that you have uploaded the wrong document, select the Upload Form button to replace this with the correct key request form.

 

 

Option two: Fax the Key Request Form

  • Fax your key request form to 0508 GETKEY (438 539) any time of the day, any day of the week.  We will process any forms received outside normal business hours on the next working day.

  • Do not include a cover sheet or send any other documents for registration to this fax number.  It is a dedicated line for receiving key request forms.
